What is Virtuel IVR?
It's all the phone system your business and your business clients will ever need. Generally phone systems are offered on a "template" basis. A certain number of extensions are included, possibly a virtual assistant, and a limited number of voice mail boxes. Virtuel IVR from Xila Telecom makes template based phone systems completely obsolete, eliminating the need to pay for additional features such as extensions and voice mail boxes, in fact, with Virtuel IVR you can have unlimited extensions and voice mail boxes. Through one user-friendly web interface you can create the simplest to the most complex phone system with ease, keep reading to find out how.

System Structure
One of the reasons Virtuel IVR is so flexible is because of the structure it's built upon, 99% of which is customizable by the system designer, you. Your IVR is made up of a IVR Number (a phone number where you can receive incoming calls) and a call flow which is made up of one or more applets. Our user friendly call flow designer makes it easy to build a phone system with any functionality of your choosing by linking applets in the appropriate order to achieve your phone systems goals.

Understanding Applets

Your call flow is made up of one or more applets, there is no limit to the amount of applets a call flow can contain. There are seven applet types, all of which provide unique functionality. Click the "Screenshot Icon" icon to view a screen shot of each applet.

    Essential to any IVR system, a menu allows the caller to choose from several options. For example "Press 1 for Sales, Press 2 to check your account balance, etc". When pressed, each option can go to a applet of your choosing. If no input is received by the caller you can also specify a separate applet as a time out destination.

    The forward applet does what it says, it forwards a caller to a outside phone number. However, that's not all is does. The forward applet also supports simultaneous ringing up to 5 numbers, choosing wether the caller ID should be that of the caller or your IVR number, setting a maximum call duration, ring duration, call announce, checking your set business hours before forwarding, and setting a applet as the no-answer destination in the event the call is not answered within the ring duration.

    One of the key applets for serious Virtuel IVR developers, XML grab can use the POST or GET method to post information to any web accessible URL, read the XML returned, and store it as global variable which can be used throughout the call flow. Like all applets you can choose to play a recording or a text-to-speech message before the applet executes, for example "Please wait while we locate your account information".

    A conditional applet is used to compare two variables during a call flow, these can either be global variables or variables you've created throughout the call (maybe from a XML Grab or Collect applet). If your a programmer, conditionals are already a big part of your life. Comparison operators include ==, !=, <>, >, <, >=, and <=. After comparing two variables the user is directed to your "IF TRUE" or "IF FALSE" destination applet.

    A collect applet allows you to collect information from a caller and store that information as a variable that can be used throughout the call flow. For example, you may want to prompt the caller to enter their account password, the entered digits can then be stored as a variable with a name of your choosing, such as [Password]. You can then use [Password] in other applets throughout the call flow, such as a XML Grab applet which you may need to communicate with your database to determine if the password is correct. Continuing our example, you can also use the variable [Password] in any text-to-speech applet, such as a menu. "The password you entered was [Password]. If correct press 1, if not press 2".

    Each call flow allows for unlimited voice mail boxes with a personal greeting up to 5 minutes in length. Each voice mail box has a unique box number allowing you to make a mailbox for each employee or department in your organization. Voice mails can be retrieved by calling your IVR number and entering the mailbox number (a unique number no one else will know, avoiding the need for a password). Voice mails are also e-mailed in MP3 format to the e-mail address specified on the mailbox/applet, this e-mail also includes the caller locations, down to the city and state.

    This simple applet can play a message to the user in text-to-speech or play a recording of your choice. After the message is played the user can be directed to a applet of your choosing.



Other Features and Static Applets
Although applets play the major role in your call flow design, there are several other features which make our flagship call flow manager even more attractive.

    See who's calling your IVR, how long they've been connected, and the number their calling from all in real-time from within the XACC system. You can also send calls in real-time to any applet that is a part of your call flow, including a "Forward" applet, meaning you can forward calls in real-time from the web around your organization or outside of it.

    The holding room static applet allows you to place callers in a holding room with music while they wait on a representative to become available. Among other items you'll see how long the user has been on hold, and by using the real-time call monitoring tool you can redirect users on hold to any part of the call flow with the click of your mouse.

    Setup conference rooms that start and expire at a time of your choosing. Each conference can contain up to 30 participants.

    Block any US or Canada number from calling your IVR instantly, saving yourself minutes on abusive users. Block unlimited numbers on any call flow.

    Use one of our pre-configured seven types of hold music (Classical, Soft Rock, Rock, Guitar Overload, Electronica, Ambient) or upload your own MP3 file. Anytime callers are in a holding room or a conference room they will hear your specified hold music.

    Choose your time zone then set your opening and closing hours. You can also choose to turn this feature off for the entire system and use it only for certain applets, such as "Forward".
